Work order management software is one of the most consequential tool choices a property management company makes. It touches every maintenance interaction, every vendor relationship, and every ownership report. Get it wrong and the operational friction compounds for years.

Here is how to evaluate the category before committing.

The Core Job of Work Order Software

Before comparing features, get clear on what the software actually needs to do. The core job is not work order creation. Work order creation is a small part of the problem.

The full job is:

  • Intake — capturing the maintenance request in a structured way
  • Assignment — routing it to the right tech or vendor
  • Scheduling — coordinating timing with resident, tech, and property access
  • Execution — giving the tech the context and documentation tools they need in the field
  • Completion — capturing proof, time, and parts
  • Communication — keeping the resident, owner, and PM team informed at each step
  • Audit trail — preserving the record for liability, compliance, and reporting

Software that handles intake and assignment well but fails at field documentation or resident communication only solves part of the problem.

What to Look For: Six Evaluation Criteria

1. How does intake actually work? This is the most common weak point in the category. Many platforms offer a web portal for maintenance requests, but that only captures requests from residents who know to log in. It does not capture the call at 9 PM from the tenant who does not use the app. Evaluate how the platform handles phone-based intake, not just portal-based intake.

2. Can techs work from mobile without a laptop? Field techs should be able to view their assigned work orders, upload photos, log time, and update status from a mobile device without losing data. If the mobile experience is an afterthought, field documentation will be an afterthought too.

3. How does vendor management integrate? If you use external contractors, the work order system should accommodate vendor assignment, communication, and completion documentation without requiring a separate process. Fragmented vendor coordination is one of the most common sources of re-work and invoice disputes.

4. What does the owner visibility layer look like? Owners want to know what maintenance is being done on their properties and what it costs. If that visibility requires a manual report from the PM team, the reporting overhead erodes the efficiency gains from the software itself.

5. Can you trace every action on a work order? For liability purposes, the audit trail matters. Who created the work order, when was it assigned, when was it acknowledged, when did the tech arrive, what photos were taken, when was the resident notified of completion — every step should be preserved and searchable.

6. How does the platform handle after-hours intake? This is where most platforms fall short. After-hours maintenance calls are common, urgent, and frequently where the intake chain breaks. Platforms that depend on staff availability to create work orders from voicemails have a structural gap in their coverage model.

The traditional intake flow looks like this: resident calls → voicemail → PM team listens → manually creates work order → assigns → notifies tech. Every step is manual, every handoff is a place the process can break, and the latency between call and created work order is measured in hours.

Evaluating on feature count rather than workflow coverage. A platform with 50 features that does not handle after-hours intake consistently is a worse choice than a platform with 20 features that covers the full intake-to-completion loop.

Treating the demo as representative of daily use. Demos show the happy path. Ask to see how the platform handles a work order that was created at midnight from a phone call, has three status changes, required a vendor handoff, and needs to appear in an owner report.

Underweighting the mobile experience. If your techs work from mobile and the mobile experience is poor, compliance with the software will be poor.

Not accounting for vendor payment. If vendor invoice reconciliation requires a separate system, the accounts-payable overhead that work order management was supposed to reduce will simply move to a different workflow.
