A preventive maintenance schedule covers the systems where failure is expensive, predictable, or dangerous: HVAC, water heaters, plumbing supply lines, roofs and gutters, smoke and CO detectors, dryer vents, exterior drainage, and common-area safety systems. Frequency depends on the component — some items are quarterly, most are seasonal or annual.
A workable starting framework for multifamily and scattered-site portfolios:
Quarterly
- HVAC filter changes (or confirm tenant completion where lease-assigned)
- Common-area lighting, exit signs, and life-safety checks
- Pest inspection in common areas and known problem units
Twice yearly (spring and fall)
- HVAC system service: coils, refrigerant, condensate lines, heat exchanger
- Gutter and downspout clearing; roof visual inspection
- Weather sealing, caulking, and exterior paint touch points
- Irrigation and exterior drainage checks
Annually
- Water heater inspection: anode rod, pressure relief valve, sediment flush
- Full unit inspection: supply hoses, angle stops, caulking, GFCI outlets, window operation
- Smoke and CO detector battery replacement and function test
- Dryer vent cleaning (a genuine fire-risk item, not a nice-to-have)
- Appliance condition review with expected-replacement notes
On turnover
- Everything above, plus the items you can only reach in an empty unit
Do not try to launch all of it at once. Start with the two systems that generate your worst emergencies — usually HVAC and water intrusion — and expand once those schedules actually run for two consecutive cycles.
Why Most Preventive Programs Die Within a Year
Preventive maintenance programs fail for an operational reason, not a knowledge reason: the schedule lives in a spreadsheet or someone’s memory, and reactive work always outranks it. Weeks 1–2: Export the last 12 months of work orders. Tag every emergency and after-hours job by root cause. The top two categories are your program scope.

Weeks 5–8: Create the recurring work orders, assign owners, and run the first batch. Expect friction; techs are being asked to do work no tenant requested.
