AI and Automated Communications Terms
Last updated: 2026-10-31
These terms apply to AI-assisted voice calls, chat, text and email drafting, transcription, translation, summaries, maintenance visual triage, classification, recommendations, and automated workflow actions in Sentus. They supplement the Terms of Service, Privacy Policy, and applicable customer or portal terms.
1. AI identity and disclosure
Sentus identifies an AI assistant when required by law or by the workflow configured for the interaction. Customers must not remove a required disclosure. AI-generated content is not a statement by a person unless that person has reviewed and approved it.
2. Recording and transcription
A call or interaction may be recorded or transcribed when configured and legally permitted. Sentus or the applicable property company will provide the notice configured for that workflow. The property company remains responsible for additional notice or consent required by the locations, participants, and purpose of the communication. Do not continue a recording when consent is required and has not been obtained.
3. Accuracy limitations
AI output may contain errors or omit important context. AI can mishear speech or misread images, especially when there is background noise, poor connectivity, incomplete information, low image quality, or incorrect source data. Confirm important facts through the underlying record and, when appropriate, directly with a person.
4. Human responsibility and review
AI output is assistance, not a final consequential decision. A qualified person must review and approve decisions concerning housing eligibility, screening, adverse action, rent, eviction, accommodations, legal rights, safety, payments, employment, vendor selection, or another material right or obligation. Customers remain responsible for their configurations, instructions, approvals, decisions, notices, and compliance.
5. Maintenance and Sentus Lens visual triage
Visual triage may help organize photos or video, identify possible conditions, and suggest urgency or routing. It does not replace an inspection or a qualified professional, and it does not itself authorize entry, spending, or contractor dispatch. Users and property companies must review the actual condition and escalate urgent matters through human and emergency channels.
6. No emergency or professional service
AI voice, chat, text, email, and visual triage are not emergency-response services and are not legal, medical, engineering, accounting, insurance, or financial advice. For immediate danger, call 911 or the appropriate emergency service first. A message, upload, or work-order submission does not guarantee that a person saw it or that help was dispatched.
7. Human assistance and fallback
If another support channel is available, follow the instructions shown or provided during the interaction. Availability depends on the property company's setup, staffing, hours, and contact information. Sentus does not promise that a live person or alternate channel is available in every interaction.
8. Automated communications
Automated calls and messages must use the purpose, audience, consent, sender, and frequency approved for that workflow. One message request or login code does not authorize unrelated recurring or promotional communications. Text-message choices, STOP, HELP, carrier limits, and charges are described in the SMS Terms.
9. Data handling and privacy
Sentus processes communication content and related metadata as described in the Privacy Policy and, for business customers, the DPA. Sentus may use service providers as described in those documents. Using an AI feature does not change the ownership or sale restrictions that otherwise apply to Customer Data.
10. Prohibited uses
Do not use AI features to discriminate, deceive, impersonate without authorization, evade consent, generate unlawful notices, infer protected traits, expose another company's data, make an unreviewed consequential decision, or create a false record. The Acceptable Use Policy applies to use of AI features, their outputs, and actions taken from those outputs.
11. Availability and changes
AI features, models, providers, capabilities, and safeguards may change. A feature may be limited, disabled, or routed to a non-AI workflow for safety, consent, quality, cost, or legal reasons. Sentus does not guarantee a particular model, voice, provider, accuracy level, response time, or continuous availability.
12. Reporting and review
Report a materially incorrect, unsafe, discriminatory, or unauthorized AI interaction tosupport@sentus.ai. Include enough context to locate the interaction without emailing passwords, authentication codes, or unnecessary sensitive data. Sentus or the property company may preserve relevant audit evidence and route the matter for human review.
