This page describes how Sentus.ai, Inc. ("Sentus") develops, deploys, and governs the artificial intelligence systems in our property management platform. It is published to satisfy consumer-facing disclosure expectations under Colorado's revised automated decision-making law (effective January 1, 2027) and to give every resident, owner, vendor, and prospective customer a clear, plain-language answer to the question: "Where does AI touch my interaction with Sentus, and what are my rights?"
Sentus operates as both an AI developer (we build the platform) and an AI deployer (we use it operationally). Our property-management customers are independent deployers and inherit Sentus's developer disclosures while remaining responsible for their own deployer obligations under applicable law.
1. AI Systems We Operate
The following AI systems are active in the Sentus platform as of the date above:
Sophia — Voice Assistant
- What Sophia does: answers inbound phone calls at our customers' published numbers, greets callers, looks up resident or prospect information from the calling company's database, creates maintenance work orders, schedules property tours, and transfers to a live human when appropriate.
- What Sophia does not do: approve or deny housing applications, set rent prices, issue eviction notices, or make any other "consequential decision" about a consumer without a licensed property manager's review and sign-off.
- Voice consent: for residents and prospects in two-party-consent jurisdictions, Sophia announces that the call may be recorded and provides an option to decline or speak to a human at the start of every call.
Maintenance Photo Classification
- What it does: looks at maintenance photos submitted by residents or staff (via a secure texted camera link or a portal upload) and recommends a severity tier and routing path.
- What it does not do: automatically dispatch contractors, deny service, or make decisions that affect a resident's rent, lease, or housing access. Output is a non-binding recommendation reviewed by a property manager.
Tenant Screening Assistance
- What it does: produces a plain-language summary of third-party screening reports so the property manager can review them efficiently.
- What it does not do: automatically approve or deny a rental application, set rent prices based on protected-class signals, or recommend adverse action without a licensed property manager's review. Every adverse action against a screening subject is delivered with a Fair Credit Reporting Act ("FCRA") adverse-action notice.
Resident Communications Assistance
- What it does: drafts suggested replies, summarizes long threads, and flags messages that may carry legal, safety, habitability, or fair-housing risk so the property manager can respond faster.
- What it does not do: send a reply to a resident without a property manager's explicit approval and compliance acknowledgement. Every draft is reviewable and editable before send. Send actions are logged for audit and dispute defense.
2. AI Systems We Do Not Operate
Sentus does not:
- Make automated lease approval or denial decisions.
- Use AI to set rent based on protected-class signals (race, color, national origin, religion, sex, familial status, disability, source of income, or any other class protected by federal Fair Housing Act, state, or local law).
- Generate automated eviction recommendations.
- Profile any consumer for purposes outside of service delivery and the consumer's account with our property-management customer.
- Train foundation models on customer data. Sentus does not retain a right to incorporate customer data into vendor model training, and we configure our vendor relationships to disable training-data sharing wherever the option is available.
3. Algorithmic Discrimination Mitigations
Sentus applies the following measures to mitigate the risk of algorithmic discrimination in high-risk surfaces:
- Fair Housing review on every voice transcript and chat thread, performed
by a dedicated
fair-housing-complianceworker. High-risk content is flagged for manager review before any consumer-facing action is taken. - Recommendations, not decisions: AI outputs in screening, triage, and collections are surfaced as recommendations only. A licensed property manager makes every decision that affects a consumer's housing access, rent, or lease standing.
- Routing inputs are demographic-blind: work order routing uses property address, priority, vendor specialty, and technician availability. It does not use a resident's income, demographic data, or protected-class signals as inputs.
- Bias audits: Sentus has committed to quarterly external bias audits of screening recommendation distributions and adverse-action rates. The first audit is targeted for Q4 2026; results will be summarized on this page.
- Multi-language access: English and Spanish are supported in full workflows today. Additional language coverage may be enabled in supported Sophia flows based on rollout scope and portfolio needs.
4. Your Consumer Rights
The following rights are available to any consumer whose data is processed by a Sentus AI system, whether or not you reside in a state with a specific AI-rights statute.
Right to a Pre-Decision Notice
Before any AI surface is used to assist with a consequential decision about you, our property-management customer is required to provide a plain-language notice. You can also deep-link to the live disclosure for any AI surface via:

You may opt out of Sentus's AI surfaces for your account at any time. The opt-out applies to voice AI, chat AI, screening AI, triage AI, and predictive AI, individually or all at once. You can submit a request through:
- Your tenant portal (Settings → AI Preferences)
- Saying "opt out of AI" or "speak to a human" on any call with Sophia
- Emailing [email protected]
- Submitting via the API:

An opt-out takes effect within 24 hours of submission. While opted out, your interactions are routed to a human property-management representative. You can withdraw an opt-out at any time through the same channels.
Right to a Meaningful Explanation
If a Sentus AI surface is used as a substantial factor in a consequential decision about you, you have the right to receive a plain-language explanation of the inputs the AI used and the output it produced. Submit the request to [email protected]; we will respond within 30 calendar days.
Right to Appeal a Consequential Decision
If a Sentus AI output contributed to a decision you believe is wrong, you have the right to
appeal. Submit your appeal to your property-management company directly, or to
[email protected].
Sentus tracks every appeal under a dedicated case type
(ai_decision_appeal) and ensures a written response is provided within
30 calendar days as required by Colorado law.
5. Recordings, Transcripts, and Retention
- Voice call recordings and transcripts: retained for up to 2 years in our Sophia memory store for service quality, dispute resolution, and fair-housing audit purposes. You can request deletion via [email protected].
- Communication audit trail: drafted, sent, and acknowledged communications are retained as append-only audit records consistent with our 7-year operational data retention policy. This supports legal defense, fair-housing compliance, and SOC 2 controls.
- Sentus Lens photos: retained alongside the underlying maintenance record for the life of that work order and any related warranty period.
6. Security and Data Handling
Sentus's AI processing is performed at the network edge, with foundation-model inference delegated to vetted third-party vendors under enterprise contracts that prohibit secondary use of customer data for model training. All data is encrypted in transit and at rest. Sentus does not train models on customer data.
Sentus may change AI vendors over time as the technology landscape evolves. Vendor changes do not alter the consumer rights described on this page.
7. Annual Reporting
Sentus will publish an annual AI transparency summary on this page beginning February 1, 2027, in line with emerging automated decision-making reporting expectations. The summary will include:
- List of high-risk AI systems Sentus operated during the prior calendar year.
- Number of consumer opt-out requests received and honored.
- Number of appeals filed and their disposition.
- Outcome summary from the most recent external bias audit.
